AI Disclosure & Transparency Statement — DeedTracker
Last Updated: 2026-05-22
1. Our Philosophy
DeedTracker uses artificial intelligence to help you build better career materials. We believe AI is your assistant, not your replacement. You remain the author of your career story — AI just helps you tell it more effectively.
This document explains exactly how AI is used in DeedTracker, what it does well, what it can't do, and what your responsibilities are as a user.
2. Where AI Is Used
| Feature | AI Role | What Happens |
| Resume Generation | Drafts resume content from your deeds | AI analyzes your deed entries and generates resume bullet points, summary statements, and skills sections tailored to your target role |
| Cover Letter Generation | Drafts cover letters | AI creates a cover letter draft using your deeds and the job description you provide |
| Resume Parsing | Extracts structured data | AI reads your uploaded resume and extracts work history, education, and skills into structured deed entries |
| Deed Summarization | Condenses and organizes | AI helps you write clear, impactful deed descriptions from rough notes or bullet points |
| ATS Optimization | Scores and suggests improvements | AI analyzes your resume against a job description for keyword matching and ATS compatibility |
3. What AI Does Well
- Organizes unstructured career information into clean, professional formats
- Suggests powerful action verbs and accomplishment-focused language
- Identifies keyword gaps between your resume and a job description
- Formats consistently (dates, ordering, section headers)
- Works quickly — drafts in seconds, not hours
4. What AI Cannot Do (Your Responsibilities)
❌ AI Cannot Verify Facts
AI may invent or misrepresent dates, job titles, company names, metrics, or qualifications. You must verify every fact in AI-generated output before using it.
❌ AI Cannot Know Your Context
AI doesn't know your industry norms, your specific achievements, or what your former managers would say about you. It makes educated guesses. You must add context.
❌ AI Cannot Guarantee Interview Success
AI-optimized resumes may pass ATS filters but a human recruiter will still evaluate the content. The substance of your experience matters more than keyword density.
❌ AI Cannot Ensure Fairness
AI models may reflect biases present in their training data. We mitigate this to the extent possible, but you are responsible for ensuring your application materials are fair and accurate representations of your qualifications.
❌ AI Cannot Replace Professional Judgment
For legal, medical, security clearance, or highly regulated roles: AI-generated content may not meet specific formatting or disclosure requirements. Consult relevant professional guidelines.
5. Data Handling During AI Processing
When you use AI features in DeedTracker:
- Your deeds, prompts, and uploaded documents are sent to Fireworks AI (fireworks.ai), our AI inference provider, for processing. Fireworks AI operates with zero data retention (data exists only in volatile memory during the request) and does not train on API data.
- We maintain a Data Processing Agreement (DPA) with Fireworks AI, which is SOC 2 Type II certified.
- Explicit consent is required before any AI processing. You are shown a clear consent notice at registration (separate opt-in checkbox) and re-confirmed in-app before each AI generation session (apply wizard and job detail flows), explaining what data is sent and how it is handled. You may withdraw consent at any time in Settings.
- AI responses are generated and returned to you; we do not store AI prompts or outputs longer than necessary to provide the service.
- See our Privacy Policy for full details and Fireworks AI Data Handling for their data processing terms.
6. In-App Transparency
We commit to the following in-product disclosures:
Before AI Generation
- Explicit consent step: "DeedTracker will send your deeds, profile data, and prompts to Fireworks AI for AI processing. Fireworks AI operates with zero data retention and does not train on your data."
- Clear labeling: "AI-Generated Draft — Review Before Using"
- Reminder prompt: "AI can make mistakes. Please verify all facts and details."
- Option to regenerate or edit
On AI Outputs
- Watermark or label indicating AI assistance
- "Report Issue" button for flagging problematic outputs
- Easy access to this disclosure document
During Resume Parsing
- Notice: "AI is extracting data from your resume. Please review all extracted fields for accuracy."
7. User Commitments
By using DeedTracker's AI features, you agree that you will:
- Review all AI outputs before using them in any application
- Verify factual accuracy — check dates, titles, metrics, company names
- Add your voice — edit AI drafts so they sound like you
- Comply with employer requirements — some employers require disclosure of AI use in applications
- Not misrepresent qualifications — AI is a formatting and phrasing tool, not a credential generator
- Accept responsibility for the content you submit to employers
8. When You Should Disclose AI Use
Different employers and platforms have different policies on AI-assisted applications:
| Scenario | Recommended Action |
| Employer explicitly asks about AI use | Disclose honestly |
| Job platform (LinkedIn, Indeed) has AI policy | Follow platform policy |
| Application asks for "original work" | Ensure AI draft has been substantially edited |
| Highly regulated industry (legal, medical, govt) | Check industry-specific guidance |
| General applications | Use judgment — DeedTracker is a writing tool, similar to spell-check or templates |
9. Our Ongoing Commitments
- Model Selection: We choose AI providers with strong data protection practices and will disclose any changes
- Bias Monitoring: We regularly review AI outputs for patterns of bias and adjust prompts and models accordingly
- User Control: You can always choose to write content manually without AI assistance
- Feedback Loop: Report problematic AI outputs and we'll use that feedback to improve
- Factual Basis: We put forth our best effort towards AI outputs that are solely rooted in facts and real user data provided.
